Launching your first email survey

SatisMeter can survey your users by email as well as on your website or in your app. Email surveys work well if you want to survey a preset list of users, don't want to install the SatisMeter snippet, or only want to send surveys by email.

This article shows you how to set up an email survey, choose the right template for your email provider, and understand when SatisMeter sends survey emails.

Choosing how to send your email survey

You can send an email survey in two ways:

  • SatisMeter-sent email survey: SatisMeter sends the survey email for you.
  • Email-template survey: You download an HTML template and send the survey through your own email provider.

Both options use the same survey settings, so your emails match the appearance and language you choose.

Setting up the email survey

Before you start, make sure each recipient has an email trait. See Custom user traits for details on traits.

To set up the email survey:

  1. Create a survey and configure its appearance, language, and any other settings you want your email survey to use.
  2. In the survey's installation section, select the email option and turn on Enable E-mail only surveys.
  3. Customize the texts of your survey email.
  4. If you send the survey through your own email provider, download the HTML template for that provider.

Your recipients get an email like the example below, with the texts and colors you choose. When they click the survey in the email, our landing page opens. There, they can leave open-ended feedback and answer additional questions.

You can check the results on the dashboard or send them to other analytics tools through an integration.

Note: If the dashboard doesn't show respondents' email addresses for your email survey responses, check your email provider's settings. Make sure your provider passes the email field to SatisMeter.

Matching merge tags to your email provider

Each template uses merge tags, which are placeholders your email provider fills in with each recipient's details. Merge tags only work when they match your provider's syntax, so always download the template for the provider you actually send with.

If a merge tag appears literally in a received email, you picked the wrong provider's template. Download the template for your provider and send the survey again.

Example: A recipient's email shows @EMAIL@ instead of their email address. That tag uses dotmailer syntax, which means the template doesn't match the email provider you sent it with.

Sending times and reminders

SatisMeter-sent email surveys start going out at 15:00 UTC each day.

A reminder is a follow-up survey email sent after the first one. Reminders are off by default. When you turn them on, SatisMeter sends a reminder one week after the person becomes eligible for the survey. SatisMeter sends reminders to at most 2% of the project's users per day.
